Use separate categories that match how invoices are written and how the shop is managed. Parts bought for a customer job, general shop supplies, payroll, and outside labour tell different stories. Consistent coding makes margins and year-end review easier to understand.
Record the customer sale and the processing fee separately instead of treating the net bank deposit as the full sale. Reconcile the shop system, processor statement, and bank deposit each month. That keeps fees visible and reduces unexplained differences at year-end.
The treatment depends on the item and its expected use; longer-lasting equipment may not be deducted in the same way as recurring supplies. Keep the invoice and a description of what the item is used for. The CRA’s business expense overview is a useful starting point.
