Keep the supplier receipt and connect the cost to the customer or job when practical. Separate reimbursed materials from your labour and from general business supplies. Job-level tracking makes it easier to see which work is actually profitable.
Business driving may be relevant, but it needs a supportable log and must be separated from personal use. Record the date, destination, purpose, and kilometres, and keep the related vehicle costs. The CRA explains motor vehicle expense records.
Keep the quote or contract, invoice, payment date, job date, refund terms, and final invoice together. Do not let deposits sit in the books without a customer or job attached. The year-end treatment can then be reviewed from complete records.
